Event Manager (MICE)

About this role

As an Event Manager, you will coordinate and deliver high-quality MICE events for international clients in Japan. From managing venues, accommodation, transportation, catering, AV, entertainment, and theming to coordinating suppliers and internal teams, you will play a key role in ensuring every event is delivered seamlessly and to the highest standards.

Key responsibilities

  • Develop and maintain MICE operational standards and SOPs, ensuring they remain aligned with business requirements and are regularly updated.
  • Coordinate all event logistics in line with detailed action plans, including venues, accommodation, transportation, catering, AV, entertainment, and theming.
  • Work closely with clients to understand their event objectives, requirements, and budget, ensuring expectations are met and exceeded.
  • Manage external supplier relationships, including contract negotiations and ensuring financial and operational protocols are followed.
  • Manage and track event budgets, identifying cost-effective solutions while maintaining quality.
  • Act as a key point of contact for clients, suppliers, and attendees, responding promptly to requests and resolving any operational issues or emergencies.
  • Ensure all events meet health, safety, legal, and company requirements.
  • Work closely with MICE, Contracting, Finance, and other internal teams to ensure seamless event delivery.
  • Organise and coordinate familiarisation (FAM) trips, including bookings, agendas, logistics, and client welcome materials.
  • Communicate event schedules, requirements, and updates clearly to all stakeholders to ensure everyone is aligned.
  • Maintain accurate records of event budgets, contracts, bookings, attendee information, and other operational documentation.
  • Identify and introduce new ideas and approaches to continuously improve event quality and client experiences.

What we’re looking for

  • A genuine passion for creating memorable, high-quality events and delivering exceptional experiences for international clients.
  • 3–5 years of hands-on experience in event planning, particularly group incentives and meetings, with strong experience across MICE operations.
  • A vocational degree in Tourism, Hospitality Management, or a related field.
  • Excellent organisational skills and attention to detail, with the ability to manage multiple events, deadlines, and priorities in a fast-paced environment.
  • Strong communication and interpersonal skills, with the ability to work confidently with clients, suppliers, and internal teams.
  • Excellent problem-solving and decision-making abilities, with the confidence to respond effectively to changing situations and operational challenges.
  • Excellent command of written and spoken English and Japanese.
  • Proficiency in Microsoft Office.
  • A flexible and adaptable approach, with the ability to work evenings, weekends, and travel as required.
