The Details

A global leader in climate control solutions requested a program for 120 guests centred around Osaka and Kyoto, combining business objectives with culturally immersive experiences. Timed alongside the client’s participation at Expo 2025 Osaka, delegates were arriving from Belgium, most visiting Japan for the first time. The client requested a personal and engaging experience, recognising that participants would not always be available together throughout the program. Seamless logistics were therefore essential, alongside meaningful cultural interaction that would offer deeper insight into the region’s heritage, traditions, and local character.

  • Exploring Kyoto’s cultural districts
    Guests explored the historic heart of Kyoto with a guided walk through Higashiyama District, walking down traditional streetscapes with wooden houses and visiting iconic shrines. In their groups they also explored local tea houses before continuing to Kiyomizu-dera for panoramic views over the city.
  • Private yakatabune dining
    A private yakatabune was laid on to provide a traditional Japanese dining experience on the water, sailing along the Okawa River in Osaka and passing by the iconic Osaka Castle. The menu featured freshly prepared sashimi, tempura, and sake, and optional onboard karaoke.
  • Osaka’s samurai heritage
    Once the site of Japan’s largest samurai keeps, the group enjoyed a guided visit to Osaka Castle, where expert insights provided rich context for the city’s historical significance as a former centre of commerce, culture, and political power.
  • Interactive sumo performance
    At Sumo Hall Hirakuza Osaka, guests were introduced to the traditions of sumo through an interactive show. Combining live demonstrations with storytelling and entertainment, the experience made this centuries-old cultural practice an enjoyable and engaging experience for the group.
Drawing on deep local expertise and long-established partner relationships, the team in Japan secured access to sought-after experiences and premium venues during the busy period surrounding Expo 2025 Osaka. The program was carefully aligned with the client’s show schedule, requiring precise coordination to ensure three groups of 40 moved seamlessly between event commitments and cultural experiences.

Managing multiple itineraries alongside high seasonal demand required flexibility, detailed planning, and strong on-the-ground support. Through careful execution, the team delivered a seamless and thoughtfully paced program that balanced operational efficiency with authentic cultural discovery and personalised service.
